Position Summary

This position will provide secretarial and administrative assistance to attorneys working in a highly collaborative team environment.

Primary Job Duties and Skills Required:

  • Excellent secretarial/administrative skills.
  • Ability to competently draft pleadings, motions, discovery, memoranda, correspondence, and other documents.
  • Ability to accurately file court documents both electronically and in document form in compliance with all local rules or judge specific requirements.
  • Strong computer proficiency in the use of MS Office (Word, Excel, PowerPoint, and Outlook), e-Filing, and database software.
  • Excellent communication skills, both written and verbal; demonstrated understanding of correct grammar, spelling, and punctuation.
  • Attention to detail.
  • Attention to and follow up on client deadlines and calendar schedule.
  • Ability to coordinate and schedule meetings and depositions, etc.
  • Understand and accurately manage audit requests.
  • Anticipate needs of attorneys in order to promote efficiencies (i.e., draft correspondence and prepare shell pleadings and discovery documents in advance).
  • Demonstrate good judgment and organizational skills to receive, record, and disseminate all information on behalf of the clients and assigned attorneys.
  • Ability to handle multiple assignments and/or deadlines while maintaining a professional demeanor and timely seek assistance when needed.
  • Prepare expense reports.
  • Edit and finalize client bills while demonstrating attention to detail and adhering to specific clients’ billing procedures.
  • Run conflict checks and open new matters
  • Exhibit knowledge of litigation process.
  • Be flexible and offer assistance to other colleagues when needed.
  • Demonstrate dependability by following instructions, completing tasks on time, and working independently.  
  • Demonstrate professionalism through approaching others in a tactful manner, treating others with respect, and reacting well under pressure.
  • Demonstrate a positive attitude and be approachable.

Recruiting Manager

Description:
Rutan & Tucker, LLC, a California based law firm, has an exciting full-time employment opportunity for a Recruiting Manager role in our Orange County office. We offer competitive compensation and an excellent benefits package.

Position Summary:
The Recruiting Manager will report to the Firm’s Executive Director and Executive Committee while supporting the Recruiting Committee and Lateral Hiring Partner to manage the full cycle recruitment process for law student, lateral associate and partner recruiting for all three California offices and Scottsdale. In addition, will work with the Executive Director in supporting the Business Office of the Firm.

Duties & Responsibilities:

  • Assist Recruiting Committee Chair and Summer Coordinator in running summer program in the Orange County office. Plan and attend events, track summer work products, serve as a resource to summer associates, etc.
  • Manage on campus recruitment process at various law schools, register Firm for OCI, work closely with law school CSOs, coordinates regularly with Recruiting Committee to review hiring needs and potential candidates, draft offer letters, and serve as point of contact for law students.
  • Coordinate recruitment process for lateral attorney candidates, including facilitating initial review of candidate materials, responding to inquiries, collecting information from lateral candidates, coordinating interview process (scheduling, monitoring, evaluation follow-up, etc.), and communicating with candidates and headhunters regarding candidate status in partnership with the Lateral Hiring Partner.
  • Coordinate with staff and other administrative departments (e.g., Human Resources, Marketing, Facilities, etc.) to complete various recruitment-related checks (conflicts, bar status, office set-up, etc.) and new hire-related paperwork as well as other employment related processes.
  • Coordinate Firm spreadsheets and department records as well as generate reports as requested.
  • Coordinate Firm events such as partner retreat, department section retreats, happy hours, promotion dinners, receptions, bar swearing in ceremonies, and holiday events.
  • Coordinate various administrative tasks such as maintaining firm internal bios, completing Firm insurance application, drafting meeting minutes, maintaining department budget, etc.
  • Participate in Firm Committees and provides administrative support.
  • Coordination of the Firm’s diversity efforts in conjunction with the DEI Committee and administration of the Firm’s continuing Mansfield certification.
  • Active member of the OCCDL, OCALRA, LAALRA, and NALP; Attends meetings and aware of NALP guidelines and best practices.
  • Special projects, as needed from the Executive Director.

Skills & Competencies:

  • High attention to detail, exceptional planning and organizational skills, and the ability to manage multiple assignments simultaneously and effectively.
  • Excellent interpersonal and communication skills (oral and written), professional demeanor and presentation; ability to interact effectively with candidates, all levels of firm personnel, and a variety of external clients.

Qualifications & Prior Experience:

  • Bachelor’s degree or equivalent experience in Human Resources, Business, or related field.
  • 4-5 years of related attorney recruiting experience, preferably with a large law firm.
  • Computer proficiency in Windows-based software and Microsoft Office Suite applications including Word, PowerPoint, Excel, and Outlook.
  • Event planning experience.

Salary Expectations:

$95,000 – $125,000 depending on experience.

Applicants must have a minimum of 4-6 years California and Federal litigation experience including all phases of discovery, filings, trials and appeals.  Excellent oral and written communications skills required as well as  proficiency with Office 365 (Word, Excel, Power Point), Adobe Acrobat, CS Disco, Everlaw, Lexis, Westlaw, and iManage.  Paralegal Certificate from an ABA approved program, Bachelor’s Degree and prior law firm experience are also required.
